📖 Usage Guide

Everything you need to know once you're set up.

🚀 Your first chat

Hatley guides you through onboarding automatically. Just start talking about your kids.

Start here
“I have a 5-year-old son named Elliot who's struggling with frustration tolerance.”
Hatley will create a child profile and your first theme.
Add detail
“He's in Kindergarten at West Mercer Elementary. He loves Pokémon and chess.”
Richer profiles lead to better, more personalized coaching.
Tip: You don't need to fill out forms. Just describe your family naturally — Hatley picks up names, ages, schools, interests, and challenges from your conversation.

🗃 The Web App (Beta)

The Hatley web app is a dashboard built around five tabs. Each tab shows a different slice of your family's history:

You're joining Hatley during our Beta — your feedback helps us build the right thing.

Home tab — your daily view. An AI-generated summary of recent activity, a Needs Attention list of pending actions, and Quick Start prompts. Each prompt has two buttons: open it in the chat tab, or copy it to paste into Claude or ChatGPT.
Themes tab — all active focus areas per child. Tap any theme to see its goal, milestones, linked moments, and coaching notes Hatley has stored. Progress bars show milestone completion.
Moments tab — your full coaching history in reverse chronological order. Filterable by child. Tap any moment to read the full notes and see the linked theme and source.
Inbox tab — all documents ingested from email or uploaded directly. Tap any document to open the authenticated view. Your family ingest address is shown here for easy copying.
Chat tab — built-in coaching chat backed by Hatley's full family context. Suitable for parents who prefer a simpler interface or don't have a Claude or ChatGPT paid subscription. For the most powerful experience, use the chat tab to get a prompt, then take it to Claude.

💬 Prompts for every situation

Use these as starting points. Hatley's advice improves the more context it has.

After a tough moment

“Elliot had a meltdown at bedtime tonight. He refused to brush his teeth and threw his toothbrush.”
“We had a rough morning — screaming about getting dressed, tears at drop-off.”

Celebrating wins

“Elliot shared his snack with his sister today without being asked!”
“The 3-breath reset actually worked at dinner tonight. First time!”

Planning & strategy

“What should we prioritize for Elliot this month?”
“Help me plan summer enrichment activities.”
“What patterns do you see in Elliot's meltdowns?”
“Are there any themes we should retire or add?”

Checking in

“Tell me about Elliot's week — what should I know?”
“How's Louise's development tracking?”

📝 Logging moments

Moments are the building blocks of Hatley's intelligence.

Just talk naturally. You don't need to say “log this.” Hatley captures it automatically.
Open the Moments tab in the dashboard to browse all logged moments. Tap any moment to see the full notes, linked theme, and source.
Include emotions. “I felt frustrated” or “Elliot seemed anxious” helps track emotional patterns.
Be specific about what worked or didn't. “The timer technique didn't work” feeds strategy effectiveness tracking.

🌱 Working with themes

Themes are the core areas you're working on with each child.

Create a theme
“I want to work on Elliot's frustration tolerance — he escalates quickly when things don't go his way.”
Check progress
“How is the frustration tolerance theme going? What's the evidence saying?”
Themes evolve. Hatley tracks evidence, builds hypotheses about root causes, and adjusts recommendations based on what's actually working.

✨ Interactive tools (Claude only)

The emoji wall, storybook brief, and conversation starters are available when using Hatley through Claude. Claude renders them as interactive artifacts directly in the chat.

😊 Emoji Wall

A pannable emoji grid for children to identify how they're feeling. Hand the phone to your child after a moment.

How to use: Say “Show Elliot the emoji wall” in a Claude conversation with Hatley connected.

📖 Storybook Brief

A personalized bedtime story brief based on themes, delight triggers, and experiences. Weaves in emotional lessons through metaphor.

How to use: Say “Generate a bedtime story for Elliot” in a Claude conversation with Hatley connected.

💡 Conversation Starters

Probing questions tailored to your child's recent moments — designed for reconnect time.

How to use: Say “Give me probe questions for Elliot” in a Claude conversation with Hatley connected.

These features are not currently available in the Hatley web app.

📎 Getting documents into Hatley

Hatley can permanently store school emails, documents, and progress reports in two ways. Both paths run the same AI pipeline — auto-classifying to the right child and theme, creating actions when needed, and building evidence over time.

📎 Upload directly. Use the paperclip button in the web app chat bar to upload PDFs, report cards, and assessments.
📧 Forward via email. Forward school emails to ingest@hatley.ai. Works with Seesaw, Tadpoles, Brightwheel, ParentSquare, and any plain email. Your forwarding email must match your Hatley account.
⚠️ Attaching to Claude or ChatGPT is not the same thing. Attaching a file to Claude or ChatGPT lets the AI read it in that session, but does not save it to Hatley. Use the paperclip in the Hatley web app or forward to ingest@hatley.ai for permanent storage.

📧 Your Hatley Home email address

Every family gets a unique yourfamily@hatley.ai address — found in the Inbox tab. Forwarding to this address is the fastest way to keep Hatley current with what's happening at school.

⚡ Auto-classification

Every email you forward is read by Hatley's AI and classified against your active themes. School emails, permission slips, schedules, and progress reports are automatically linked to the right child and theme — no manual tagging required.

🔢 Event & action detection

When a forwarded email contains a deadline, RSVP, or action item, Hatley creates a coaching action automatically. It surfaces in your daily digest and in the Home tab's Needs Attention list — so nothing falls through the cracks.

🏭 Evidence bridge

If the email content matches one of your child's active themes, Hatley writes an evidence row automatically. You'll see it on the Evidence tab inside that theme — building a richer picture over time without extra effort.

💌 Receipt confirmation

After processing, Hatley sends you a receipt email confirming what was ingested, which child and themes were tagged, and any actions created. If Hatley was uncertain about something, the receipt shows a yellow clarification notice so you know to follow up.

☀️ Daily email digest

Every morning around 7am, Hatley sends you a personalized email. It's built from your full family context and gives you a focused view of what matters most that day — designed to be read in under two minutes.

📋 What's inside

The digest includes a Do Today section with your most important actions (marked ⚡ Priority or 🕐 Overdue), a summary of each child's recent momentum, any upcoming deadlines pulled from forwarded emails, and coaching prompts ready to copy straight into Claude or ChatGPT.

🔄 Rotation & freshness

Hatley tracks which actions it has surfaced in recent digests and applies a staleness penalty to avoid showing you the same thing every day. Actions you've engaged with get prioritized; ones that keep appearing without engagement get rotated out.

👫 Co-parenting

Both parents share the same family data.

Invite co-parent
“Invite my partner to Hatley.”
Generates an invite code your partner uses to join.
Co-parent context
“What has Amy been working on with Elliot this week?”
See what your partner has logged and strategies they're trying.

⚡ Power prompts

For experienced users who want to go deeper.

“Compare Elliot's math and reading trajectories. Where should we focus?”
“What hypotheses do we have about Elliot's frustration triggers?”
“Prepare me for the parent-teacher conference.”
“Draft a message to Elliot's teacher about the screen time pattern.”
“What's the 90-day roadmap for Elliot?”
“Show me plan templates for school admissions.”
“Schedule this strategy for tomorrow morning.”
“Is Elliot eligible for gifted programs based on his scores?”

🎯 Tips & tricks

Use both surfaces. Connect Hatley to Claude or ChatGPT for the deepest coaching experience. Open the Hatley dashboard to see what those conversations have built — themes, moments, and actions — at a glance. The dashboard's Home tab also gives you copy-ready prompts to take back into Claude or ChatGPT.
Get documents in early. Forward school emails to ingest@hatley.ai. Set up an auto-forward filter from your school's email domain.
Log the boring days too. “Normal bedtime tonight, no issues” helps identify what conditions lead to good days vs hard days.
Include what you tried. “I used the 3-breath reset and it worked” tracks strategy effectiveness over time.
Talk about yourself too. “I was really triggered by the whining today” helps Hatley understand your patterns.
One child at a time. Focus on one child per conversation for the most grounded advice.
Ask for the roadmap. Once you have 10+ moments and a few themes, ask “What's the roadmap for [child]?” to see a development plan.

Using your Hatley Home email address

Find your address in the Inbox tab. Every family gets a unique yourfamily@hatley.ai address shown in the Inbox tab header. This is different from the shared ingest address — it's yours alone and pre-linked to your family.
Forward from any email client. Forward school newsletters, permission slips, Seesaw updates, or any parent-school communication straight to your Hatley Home address. Hatley reads the email, classifies it against your themes, creates any actions, and sends you a receipt — all within a minute.
Set up an auto-forward filter. In Gmail or Outlook, create a filter: From contains your school's domain (e.g. @westmercer.org) → Forward to your Hatley Home address. You'll never have to remember to forward again.
Don't have a Hatley Home address yet? Ask Hatley to set one up. Try: “Set up my Hatley Home email address” or “What's my family ingest email?” in a Claude or ChatGPT session with Hatley connected. If onboarding isn't complete, try: “Run setup for my family”.

Using your daily digest

Read it every morning. The digest arrives around 7am and is designed to be read in under two minutes. It's your daily briefing on what's active, what's due, and what Hatley recommends focusing on today.
Copy prompts straight from the digest. The Do Today and coaching prompt sections include text you can copy and paste directly into Claude or ChatGPT. The digest is the bridge between your morning read and your next Hatley session.
Check the receipt emails. When Hatley ingests an email, the receipt tells you what was captured and flags anything it was uncertain about. If you see a yellow clarification notice, answer the open question in your next session with Hatley.
Not receiving the digest? Check your spam folder and add the Hatley sender to your contacts. Or ask in a session: “Am I set up to receive the daily digest?”
